Introduction

This document is intended to serve as an employee compensation reference guide for production employees (ex: Scribes & QAs).

The first part of the document contains the specific details on the pay model and also the specific pay amounts associated with automatic pay increases.

The second part of the document is intended to serve as an explanation on interpreting and understanding the pay system, including knowing how to earn automatic pay increases.

Policy Summary

  1. These terms are subject to change upon fourteen (14) days' advance notice to employees.
  2. Employees spending time producing work will accrue compensation on a piece rate basis depending on the type of work they are performing. This rate will be applied to all dictation hours processed while performing that type of work (i.e. Formalizer Scribe, Formalizer QA, Custom Scribe, Custom QA).
  3. Employees will qualify for additional increases to their piece rate ("Dictation Hour Rate") if all qualifications are met in the pay period. Employees who are not in good standing, who are subject to disciplinary action, or who are not in compliance with company policies may be ineligible for rate increases.
  4. Employees will also accrue compensation for compensable non-production-related activities such as administrative offline, required surveys or training, time spent in reviews, time spent in coaching, paid time during an outage, etc.
  5. Dictation Hour Rates will be set on a biweekly basis to correspond with the applicable pay cycle.
  6. Pay cycles are biweekly. The pay cycle ends midnight on every other Sunday and pay is received the following Friday.
  7. Employees can enroll, update, or terminate direct deposit. Employees will be provided the ability to access a Payroll Portal to access pay history, tax documents, and elect to receive notifications of new documents added to the Portal.
  8. In no instance will any employee make less than minimum wage for their time spent working.

Qualifications

Employees will earn no less than the floor pay hourly amount for all their time spent working in the pay period. To earn the increases as outlined below, employees must meet the following requirements to qualify for the increases.

Employees with less than 0.5 hours of work reviewed by QA will automatically pass the CPH and FDS metrics. This way, no one should be disqualified for a small number of outlier jobs marked with corrections or FDS.

When meeting the Production Pay Qualifications, employees will always receive the higher of:

Example: If your floor pay amount is $10 hourly and you work 50 hours in the pay period, you will never receive less than $500 gross pay. If during the pay period you processed 25 hours of Formalizer scribe dictation (approximately a 2.0 X-Factor) and your Formalizer scribe dictation rate is $25 hourly, you would receive $625 in compensation because this amount ($25 * 25) is more than the floor pay amount.

Components

Why This Is Important

The Dictation Hour Rate directly impacts your compensation. If your earned Formalizer scribe rate is $20, then you earn $20 for every hour of recorded dictation you process. The faster you process the work, the faster you earn that lump sum amount. This means that you can automatically increase your compensation either by improving your X-Factor and efficiency OR by increasing your earned production rates.

You may access the Rate Estimator Utility to estimate the dictation rates you would be eligible for based on your own stats. We recommend using the utility while reading the information on this page.

Default Dictation Hour Rate

There four different categories of work and thus four distinct rates for those types of work. Some rate increases apply to all work and some increases apply to some of the four categories of work.

Rate Increases

If all qualifications are met in the pay period, the following increases will be automatically applied to the base Dictation Hour Rate based on individual factors including tenure, productivity, and scheduling.

Production Rate = Base Dictation Hour Rate/s + All Applicable Increases

Scheduling Rate Increases

Based on the total number of logged hours in a pay period, the following increases will be applied. Note that, for example, 31.99 does not count as 32 hours.

Tenure Rate Increases

Based on total cumulative hours, the following increases will be applied.

Productivity Rate Increases

Productivity is measured by XF for the pay period (sum of all time spent scribing divided by sum of all completed scribe work). Increases will be applied as below.

Additional Rate Increases

Attendance Bonus

Employees who work their shifts in full every day over the pay period will be eligible to increase their Dictation Hour Rate via an Attendance Bonus. This means that at the end of your shift, you have logged at least the total number of hours you had been scheduled for. You can track your logged hours on the COSA website ("Logged Hours" page) to ensure that you have completed all hours.

If all shifts have been completed in full in the pay period, you will earn an extra $2.00 on your Dictation Hour Rate.

Note: 3.99/4.00 hours complete will disqualify you from the attendance bonus. Be sure you are following all scheduling policies outlined in the COSA document. Exceptions will be limited.

QAQA Bonus

Formalizer QAQAs will receive $1.00 increase to their Formalizer QA Dictation Hour Rate for all Formalizer QA dictation hours processed.

In-Office Bonus

If you work fully in-office then the two below items apply to you:

Training & Offline Pay

All training, including Orientation, will be compensated via "offline time." Offline time is simply on-the-clock time that is administratively entered (note that time spent in Formalizer is automatically counted as on-the-clock time). Employees will earn the floor pay hourly amount for all offline time entered.

An Example For Pay Rates

Reference the Qualifications section for information on finding your own stats on the My Pay, My Stats, and Quality Stats pages.

You may reference the below "Production Rates" table for an example estimate on what X-Factors and what Production Rates equate to on an hourly rate basis.

This is to show that you can increase your pay by becoming more efficient, by increasing the production rate you earn, or both.

These estimates are examples only. Your own individual factors will always determine your pay.

Note that the "Production Rates" table begins at $28.50 per hour of scribe dictation, which can be achieved by most in-office scribes.

The below table assumes that employees do NOT spend 100% of their time working, as some time should be spent resting or on break. Specifically, these rates assume that a 2.0 X-Factor scribe processes 0.46 hours of dictation per hour. If you are more or less efficient, your actual earned amount will differ.

Payroll Portal

The Copytalk Business Services Payroll Portal allows for all employees to be able to access their pay stubs, tax documents, and more! We strongly encourage all employees to enroll in the Payroll Portal to take advantage of the features the Portal offers.

You can choose to go paperless and receive electronic copies of your pay stubs, full compensation history, as well as tax documents via the Portal. You can also elect to receive an email notification when a new pay stub or document is released on the Portal.

Registering Your Account

Direct Deposit

You can choose to enroll in direct deposit at any point. If you would like to register for direct deposit, send an email to the office and/or speak with an OS or OM and they will send you the DocuSign form to complete.

You will need to attach a document from your bank to verify your account. This document can be a void check, a direct deposit form from your bank, or a deposit slip. It can take up to two full pay cycles after submitting the enrollment form before the direct deposit will take effect.

If you need to update or terminate an existing account enrolled in direct deposit, contact your office to receive another enrollment form.


Paperless Electronic Pay Stubs

If you’re enrolled in direct deposit, we recommend that you select Electronic Direct Deposit Vouchers. You can also subscribe to receive an email when a new pay stub is available and view your pay history. When you sign up for Electronic Payroll Statements, you will no longer receive physical copies of your pay stubs but you will receive notifications when a new pay stub is released and be able to view your pay history on the portal.
