Strange things happen in Formalizer sometimes. This document is designed to help guide you through any glitches, mishaps, or malfunctions that may arise. If your problem is not addressed on this document or cannot be resolved, please contact a supervisor immediately. |

The hotkey features for capitalization (Alt-down, Alt-up, and Alt-Shift-up) will sometimes add a block ⟨ character or strange symbol after the word you've made lowercase/uppercase/capitalized. You must erase that character/symbol or else Formalizer might start to erase words as you type them. Sometimes the symbol may be a question mark, a dotted-line box, a Chinese character, or an empty space that causes the current line of text to shift down slightly (about 1/5 of a line break).
If you go back to a previous portion of text to correct something and the keystrokes you type
begin to erase and overwrite the text, try hitting the Insert key to toggle the Overwrite feature on/off.
One-letter macros should never be used. Whenever you type any word that begins with the same letter as your one-letter macro, if you should later erase that word for any reason, Formalizer will also erase the word in front of it. This glitch is hard to catch every time it happens and usually results in jobs being sent out with randomly missing words.
For QAs Only:
- Sometimes on a QA job (or QAQA job), the entire job will erase itself and go blank if you hit Ctrl-Backspace. If this happens, usually hitting Ctrl-Z will bring everything back; however, for the rest of the job you must not hit Ctrl-Backspace, or else the job will go blank again. If hitting Ctrl-Z does not fix it, click on the drop-down arrow next to the "Get Job" icon in the upper left corner of Formalizer, and then select the Scribe's name from the drop-down list. Unfortunately, this means you will have to restart the job over from the beginning, and you must make sure to not hit Ctrl-Backspace again or else the same thing will happen.
- This also happens sometimes on a QA job (or QAQA job) if you unselect Get Next Job, but then later decide to stay logged in and re-select Get Next Job. In this instance, the job may or may not come back when you hit Ctrl-Z. So if you change your mind and want to stay logged in, you should just log out anyway when you finish the job and then immediately log back in.

The "Change All" button does not function properly in spellchecker and should not be used. Sometimes it will work correctly, sometimes it will only change one instance of the word in question instead of all instances, sometimes it will change a completely different word, and sometimes it will ignore the word in question.
While you are scribing, the F9 key can be used to spot-check the spelling of any word the cursor is touching. You are supposed to be able to then select the correct spelling from the drop-down list of suggestions and hit Enter to replace the misspelled word. However, it is highly recommended that you do not use this feature, because many times rather than replacing the misspelled word in question with the corrected spelling, Formalizer will instead splice the correctly spelled word into the misspelled word, resulting in an incorrect word and a jumbled mess.

Sometimes when you receive a review job back from QA, the QA's version (on the top half of the screen) is blank. To fix this, simply click on the drop-down arrow next to the "Get Job" icon in the upper left corner of Formalizer, and then select the QA's name from the drop-down list. If this still doesn't fix it, please keep the job on your screen and notify a supervisor immediately.
Sometimes on a review job, there will be a random keystroke in front of one of the open brackets (usually the [3 field or whichever field is first in the job). This means the QA inadvertently hit a keystroke as they were sending the job out. Unfortunately it cannot be erased from the review job, and when you try to send the job out, a message will pop up saying "Selected text will be ignored. Please set correct markers". To send out the job, you must click on the drop-down arrow next to the "Get Job" icon in the upper left corner of Formalizer, then select your own name from the drop-down list, and then send the job out.
Sometimes on a review job, when you go to look at the F2 Comments screen, there are no comments or bookmarks there at all, or there may be some very unfamiliar labels. This means Formalizer has forced the scroll bar all the way to the right. To fix this, find the scroll bar at the bottom right side of the screen, and drag it back to the left (or you could just hit the F2 key).
Most times, when you go to send out a review job, a message will pop-up saying "Not all corrections were commented. Please comment all corrections and re-send the job. Do you want to send the job anyway?". Simply click Yes, and continue to send the job out as normal.

On some machines, if you hold down the shift key for too long (5 to 8 seconds) Windows will auto-capitalize every keystroke as if the shift key was permanently held down. To undo this, simply hold down both Shift keys simultaneously for about 5 to 8 seconds.
On some machines, Alt-Ctrl-Down Arrow will flip the screen upside down (and Alt-Ctrl-Left/Right will flip the screen sideways). To undo this, simply hold down Alt-Ctrl-Up (this is the same fix for if the monitor is flipped sideways).
If you ever get a job back from QA review where Formalizer says you requested it to be sent to QA, but you know you didn't send it to QA, the most likely culprit is that the Tab and the Q keys are right next to each other. So, it is very easy to inadvertently hit Alt-Q when hitting Alt-Tab to switch windows. Be sure to be on the lookout for this in the future; whenever you send a job out, quickly glance at the status of the "To QA" checkbox.
In Formalizer, there are keyboard hotkeys to switch the job type to one of the other job types (EMail, ToDo, Appt, Contact, Note, Expense and Issue). The hot key is Ctrl-Shift + whatever letter is underlined on the corresponding icon on the left hand side of Formalizer. You should never manually change the job type. Whatever the job type listed in the Blue Status bar at the top of the screen is what the job should be. However, it is easy to inadvertently switch the job type while scribing by hitting Ctrl-Shift rather than Shift when trying to capitalize a letter or word. If you accidentally switch the job type to something other than what the job should be, simply hit Ctrl-Shift + whatever letter is underlined on the icon for what the job should be (for e-mail jobs it is Ctrl-Shift-M).

If the F3 Profile screen shows someone else's name that is not your own, do not worry; your hours and pay are still being correctly reported for your name and profile. This is simply a glitch that happens sometimes if you log into Formalizer without first exiting the program after someone else had been logged in before you. It is not necessary to do anything about this glitch, as everything is still be reported correctly; however, if you want your own name to show up on the F3 screen, finish the job you're on, unselect Get Next Job and send the job out, then "Exit" Formalizer and start it up again.
The status bar at the bottom of Formalizer lists your name, the current job's keystroke count, scheduled and logged hours for the week, and scheduled and logged hours for the day. Sometimes the information being displayed logged and scheduled hours is incorrect (usually, if it is incorrect, it is very incorrect and off by hundreds or thousands). It is not necessary to do anything about this glitch, as everything is still be reported correctly; however, if you want the correct information to start showing up, finish the job you're on, unselect Get Next Job and send the job out, then "Exit" Formalizer and start it up again.
If your monitor screen ever goes black or the resolution becomes fuzzy, first you should check to make sure it is on and that it is properly plugged in. The power cord and the VGA cable are located at the back of the monitor. Next, depending on your monitor, you should be able to use the monitor's menu button to reset the factory settings or degauss the monitor. If this still has not fixed the problem, immediately inform a supervisor.
For QAs Only:
Sometimes on a QA job (or QAQA job), changing the size of the text while will cause the color coding for changes made (red text) to no longer appear, or to disappear. This will reset after you send the job, but often it can be fixed by hitting CTRL-P twice in a row.

If you are ever immediately kicked out of Formalizer with an error message saying "Job Sent to Another Scribe," this is somewhat normal. The job will simply go to another scribe as if it were a brand new job. The job that you processed was lost, but the time you spent on the job is still compensated. You should re-open Formalizer and continue working as normal. However, if it happens to you again during the same shift, inform a supervisor immediately.
Sometimes a scribe job will come in that says "Failed Item" instead of saying "E-mail". This is normal. Simply click the E-mail icon or hit Ctrl-Shift-M, and process the job as normal.
If your macros and/or bookmarks ever stop working mid-job, contact a supervisor immediately.
If your foot pedal ever stops working mid-job, contact a supervisor immediately.
If in the middle of a scribe job, the blue time bar at the bottom of the screen stops progressing forward, and/or the clock to the right of it shows 0:00/0:00, contact a supervisor immediately.
If the audio at your station is not working, you will receive an error
message that says "Unable to load voice file". You will need to
uncheck the Get Next Job box, which will log you out. Then there are a number of things you should check:
1. Check to make sure the headphones are plugged into the correct slot (if
the front headphone jack does not work, try the green slot at the back of the computer).
Also make sure they are not plugged into the microphone jack.
2. Check that the volume has not been muted or turned very low. To do this, double click on the volume icon on the Windows Taskbar (usually a blue or gray speaker Icon). Be sure to check the "Volume Control" and the "Wave Volume".
3. If your headphones are correctly plugged in, see if it helps to gently twist the input jack left and right, where the headphones connect to the computer.
4. If your headphones are correctly plugged in, see if it helps to gently twist the wire left and right, where the wire connects to the earpiece. If gently twisting the wire at the earpiece causes sound to go in and out, your headphones are broken; contact a supervisor immediately. Do not replace the headphones yourself without contacting a supervisor.
5. If none of these steps help fix the problem, contact a supervisor immediately. Do not replace the headphones yourself without contacting a supervisor.
